Payroll & Administrative Assistant

The Payroll and Accounting Administrative Assistant performs multiple functions for ARI clients and within the ARI environment, encompassing the areas of Payroll Administration, Accounts Payable, and General Accounting Administration.

Duties and Responsibilities:

Payroll:

  • Processes payroll ensuring proper payments and deductions are processed with established client schedule
  • Process reports and check requests (if applicable) based on established schedule
  • Provides documentation and tracking of payroll expense variances and prepares information/schedules as requested
  • Updates employee data in client payroll system as necessary
  • Provides audit function to assure accuracy of data verification of wages/deductions, etc.
  • Completes wage verification and statements
  • Prepares applicable payroll reports and schedules – monthly, quarterly, annually

Accounts Payable:

  • Processes A/P daily
  • Processes cash disbursements
  • Performs cash reconciliations
  • Performs reconciliation of vendor statements
  • Provides ongoing client and vendor interaction

Accounting and General Administration:

  • Assists with month end closing
  • Verifies and posts details of transactions, such as funds received and disbursed
  • Prepares vouchers, invoices, checks, ad hoc reports, and other records
  • Assists with special projects as needed.
  • Performs other Administrative duties as assigned.

Qualifications and Experience:

  • Minimum of 2 years experience in payroll or equivalent setting
  • Bachelor’s degree in Accounting or Business preferred
  • Experience with MS Office, Excel, TEAMS
  • Experience with Quickbooks preferred
  • Strong attention to detail
  • Knowledge of State, Federal, FLSA and Wage and Hour payroll regulations
  • Ability to work proactively in a fast-paced environment
  • Ability to take direction but also work independently and prioritize responsibilities
  • Strong ability to patiently and positively interact with clients
  • Solid written and verbal communication skills
  • Ability to maintain discretion and confidentiality at all times

Job Type: Full-time

Pay: $15.00 – $26.26 per hour
